Managed payroll
Routine payroll processing through QuickBooks Payroll on your schedule, including direct deposit and standard filings. Payroll software is billed separately by Intuit.
Accounts receivable
Priced by invoice volume. We create and send invoices, apply payments, send statements and run a consistent follow-up schedule on what’s past due.
Accounts payable
Priced by bill volume. Bills captured, entered and coded to the right job, then prepared in a payment run you approve — you authorize every payment.
Florida sales-tax filing
Preparation and filing of one standard Florida sales-and-use-tax return per period from reconciled books. Back returns and notices quoted separately.
1099 preparation
Preparation, e-filing and recipient copies — with complete vendor records and W-9s on file by January 15.
HR support

Historical Cleanup & Catch-Up
Behind on your books? We start with the last month that was truly reconciled, then work forward: transactions categorized, bank and credit-card accounts reconciled, duplicates removed, opening balances corrected, and a tax-ready set of reports for every period we touch. Cleanup is priced per month of books cleaned and quoted after a free diagnostic review — you get a written scope and a flat price before we begin, never open-ended hourly billing.

Cleanup quotes are based on the information provided at intake and hold for 30 days. If we open the file and find materially more volume, missing records or unreconciled periods than described, we pause and re-quote before doing additional work — you will never get a surprise invoice. A deposit starts the work and the balance is due at delivery. Ongoing monthly service begins the month after cleanup is complete.
Accounts Receivable — Get Paid Faster
We create and send your invoices, apply payments as they come in, send statements, and run a consistent, polite follow-up schedule on what’s past due — so “I’ll get to it this weekend” stops costing you money. You approve the terms and the escalation steps; we do the chasing. Priced by the number of invoices you issue each month.

A/R service assumes your books are current and your customer list and payment terms are accurate. Collecting balances already over 90 days at the start of service is quoted as a one-time recovery project. We follow up on your behalf, under your name and your approved wording — HERO is not a licensed collection agency and does not take legal action. Volume beyond your plan band moves to the next band from the following month.

Vendor bills and receipts come to us, get entered and coded to the right job and account, and land in a payment run you approve. You keep total control of the money — we keep the paperwork, the due dates and the vendor relationships from becoming your evening job. Priced by the number of bills you receive each month.

HERO prepares payments; the client authorizes and releases every payment. We are not granted signing authority or standalone banking access. Bills received fewer than three business days before a scheduled run move to the next run. Late fees or vendor holds caused by bills not sent to us, or by approvals not returned, are the client’s responsibility. Volume beyond your plan band moves to the next band the following month.

You can. QuickBooks is the tool — someone still has to run it, catch the errors, and make sure the filings go out. That's what you're hiring. We're QuickBooks Online ProAdvisor Certified at the Gold tier, so we work inside the system you already pay for rather than moving you to something new.

My books are months behind. Can you fix that?
Yes. Most clients come to us behind. We assess how far back the gap goes, quote the cleanup as a one-time project, and then move you onto a monthly plan so it never happens again. Multi-year cleanup is available.
Do I need a bookkeeper or a CPA?
Most home service businesses need both, doing different jobs. A bookkeeper keeps your books accurate month to month. A CPA uses those books to file your taxes and plan strategy. Clean monthly books make your CPA cheaper and faster — and they're what lenders and bonding companies ask for.
Do you use my QuickBooks or move me to something new?
We work inside your existing QuickBooks Online account. Our team is QuickBooks Online ProAdvisor Certified — Gold Tier — so there's no migration, no new software to learn, and you keep full ownership and access to your file. The QuickBooks subscription is billed separately by Intuit.
Can you handle both W-2 employees and 1099 subcontractors?
Yes — that mix is standard in the trades. We process W-2 payroll with tax filings and direct deposit, and handle 1099 contractor payments with year-end 1099 preparation. Your QuickBooks subscription is billed separately by Intuit.
Can you tell me whether a specific job made money?
That's the point of doing it properly. We categorize by job type and revenue stream, so your monthly reports show which work is actually profitable instead of just what came in. Detailed per-job costing depends on how your estimates and purchases are recorded — we'll show you what we need from the field to make it accurate.
Do you file my sales tax and 1099s?
Both are available as add-ons rather than being bundled into the monthly plan, so you're not paying for filings you don't have. Florida sales tax is priced per return and 1099s are priced per form — see the Pricing page.
Is invoicing included?
Invoicing, statements and payment follow-up sit on the bookkeeping side and are handled as add-ons — accounts receivable and accounts payable management are each priced separately on the Pricing page.
